ScreenFire Terms of Service

Last updated 23 October 2026

These terms are between ScreenFire and the business using the service. They govern your use of ScreenFire's business screen service, apps, web console and supported assistant connections. In these terms, “ScreenFire,” “we” and “us” refer to ScreenFire, the provider of the service. “You” means the business or organization using the service and, where relevant, its authorized users.

Accepting these terms

When you create an account or accept these terms for a business, you confirm that you are authorized to act for that business. If you do not agree, do not create an account or use the service. Questions about these terms can be sent to hello@screenfire.ai.

1. The service

ScreenFire helps a business manage content for its registered screens. Depending on the features available to the business, it can read items from a supported source, organize and describe content, prepare screen boards, manage supplied media, and create promotional images or motion graphics. Features depend on the business's current entitlement and configuration.

The supported source integration reads source information; it does not change prices, items or orders in that source. Changes to ScreenFire's display content do not change the original source records.

2. Your account and business access

Keep sign-in details secure and allow access only to people authorized to work with your business. Members' powers depend on their role and permissions; access to a business does not give every member identical billing or membership powers. You are responsible for the access and instructions you authorize.

Connect a source or provide content only when you have the authority and rights to do so. Do not share another person's credentials or use another business's account, screen token or connection. Never send passwords, source credentials, access tokens, sign-in codes or payment-card details in an assistant conversation or support message.

Tell us if you believe your account or connection has been misused. Use the available account and connection controls to remove access you no longer authorize.

3. Assistant connections and approvals

A supported external assistant connection covers the business selected during ScreenFire consent and the permissions granted to that connection. The assistant can receive information returned by the permitted tools; the external assistant provider's terms and privacy practices also apply to its service. You can review and disconnect connections in ScreenFire's Connected Assistants settings. Disconnecting prevents further use of that ScreenFire connection; it does not recall information already supplied to the external provider.

The connector currently supports business identity, screen overview, individual screen inspection and item reads. It can also add a supplied public HTTPS image to a media screen when the connection has the additional image permission. It does not change source prices, connect a source, manage membership, publish a board plan or control arbitrary television functions.

For image placement, review the selected screen, image, caption and schedule before approving the action. The client must show a preview and obtain your approval before sending the confirmed request. A preview alone does not add the image. A confirmed image placement consumes an existing publish credit, and repeating the confirmed request can add another image and consume another credit. If an outcome is unclear, check the screen's media before repeating it. Use only images you have permission to display.

The assistant client's handling of your approval is part of this workflow. A successful request or a software status is not proof that a person saw the preview or that a physical television displayed the result.

4. Review content before using it

AI-generated descriptions, categories, recommendations, images and tags can be inaccurate or unsuitable. Check content before publishing or displaying it, and check it again when the underlying information changes. Pay particular attention to prices and any safety, dietary, allergen or other material claims relevant to your business.

You are responsible for the content and instructions you supply and the content you choose to display. Do not treat a recommendation, status indicator or browser preview as a guarantee of accuracy, sales performance or physical screen playback.

5. Permitted use

Use ScreenFire only for lawful, authorized business purposes. Do not:

  • upload or display content you lack the rights or permissions to use;
  • show a YouTube video or playlist you do not have the right to show in your business, or in a way YouTube's terms do not allow;
  • use the service for unlawful, deceptive, infringing or harmful content;
  • attempt to access another business's information or bypass authentication, permissions, usage limits or security controls;
  • interfere with the service, its users or the systems it depends on; or
  • use third-party media or connected services in a way that breaches the rights or terms applicable to them.

6. Plans, credits and payments

The business's billing page shows its current plan, included features, allowances and credit balance. Applicable prices and purchase terms are shown before a purchase. Paid subscriptions recur on the schedule shown at checkout until cancelled. Do not assume that a feature is available simply because a connection or screen was previously configured.

Some requested actions consume credits. Monthly credits are used before separately purchased credits. Unused monthly credits are replaced at the next monthly renewal rather than carried forward. Purchased pack credits remain available while the business exists, subject to usage, any refund adjustment and the service's applicable limits. Credits are service usage allowances, not a cash balance.

When credits are insufficient, a charged action can be refused. Previously prepared screen content is not removed merely because the credit balance reaches zero, although source access, updates and other features still depend on the current plan and configuration. A storage limit can also prevent an upload or generation. Keep your own copies of important files; ScreenFire is not a permanent archive for unused or removed content.

Reservations for work that fails without a delivered result are reversed through the service's recovery process. Contact us if a balance appears incorrect. Not every assistant interaction is a charged action; the external connector's read tools do not themselves purchase credits or change a subscription.

Where checkout identifies Polar as merchant of record, you purchase through Polar as reseller, while ScreenFire supplies the service. Polar’s Buyer Terms apply to the transaction, payments and refunds alongside these service terms. Billing-portal functions use the payment provider’s secure pages. Do not send card information to ScreenFire support. Free-plan limits and available features can change; the product will show the limits currently in force. A change to a paid purchase must follow the terms shown for that purchase and any notice required by applicable law.

7. Cancellation, deletion and refund requests

An authorized business owner can open the payment provider's billing portal from ScreenFire's billing page to manage a subscription. Ordinary cancellation stops renewal and, when scheduled for the end of the paid period, leaves the paid plan in place until the end date shown. The business then uses its applicable free entitlement.

Deleting your account is a different action. Where deletion also deletes a business you solely own, its paid subscription is ended immediately before that business is deleted. This does not wait for the end of the paid period and does not automatically issue a refund. If other people still depend on a business you solely own, ScreenFire can require an ownership transfer or removal of those members before deletion. A business with another owner can continue after your access is removed.

To request a refund or report an incorrect charge, email hello@screenfire.ai with the purchase reference and a description of the issue. Do not include payment-card details. We review requests individually, taking account of the purchase terms, what was supplied and any rights that apply. Cancellation or unused time or credits does not by itself trigger an automatic proportional refund. This does not limit a refund or other remedy required by applicable law or the terms agreed for the purchase.

If a payment is refunded, the associated credit allowance can be withdrawn. A refunded subscription payment can return the business to the free entitlement. Contact us about the effect on access before requesting a refund if you are unsure.

8. Ownership and permission to process content

Your business information, branding and uploaded content remain yours or their respective owners'. You give ScreenFire permission to store, process and display that content as needed to provide the service and carry out your authorized requests, including through the providers described in the Privacy Policy.

ScreenFire and its licensors retain rights in the software and other materials they provide. You may display the boards and media prepared for your business through the service, subject to these terms and any rights or restrictions that apply to supplied content or third-party material. This does not transfer ownership of ScreenFire's software or promise exclusive rights in AI-generated or third-party material.

9. Reliability and access restrictions

The service can be affected by maintenance, errors, network faults and outages at hosting, AI, source or other providers. ScreenFire does not promise uninterrupted availability, error-free AI output, or a fixed time for preparing a board or updating a screen. Keep suitable alternatives for information or operations that must remain available.

We may restrict or suspend access when reasonably necessary to address a security risk, misuse, a serious breach of these terms or nonpayment. Where practical, we will explain the reason and how an issue can be resolved. These terms do not exclude or restrict rights, responsibilities or remedies that cannot be excluded or restricted under applicable law.

10. Stopping use and data

You may stop using the service. Stopping use or disconnecting an assistant does not cancel a paid subscription; use the billing controls for cancellation, or review the separate account-deletion effect above.

Account and business deletion can stop service to the affected screens and remove associated files and records. Data belonging to a business that continues with other members is treated differently from data of a deleted business. Retention and deletion are described in the Privacy Policy; deletion does not promise immediate removal of every security, billing, provider or backup record.

11. Changes and contact

We will keep the current terms at this page with an updated date. If a change materially affects your use of the service, we will provide notice before it takes effect and any additional notice or choice required by applicable law. Changes do not retrospectively alter the agreed terms for an already completed purchase.

For account, billing or terms questions, contact hello@screenfire.ai. The ScreenFire contact page provides the existing public contact options.
